Description of the HCI Process

We place significant emphasis on following a very methodical approach.
The usual steps are as follows: 

1 The Initial Consultation: The first meeting where we discuss what an organization is looking for and what we can offer. 

  1. 2 The Engagement: Once a church decides to engage SLG to assist with this process, we formalize the engagement (which is the purpose of this letter).

  2. 3 Reviewing Existing Documents: We review your existing organizational documents (as well as any sample documents that you would like for us to consider) to determine the specific areas in need of attention.

  3. 4 Forming a Document Drafting Team: We recommend putting together a group of individuals who will participate in the document drafting process. In this instance, it appears as though that group is already assembled and ready to begins its work.

  4. 5 Conducting a Drafting Meeting: This is a meeting between SLG and your drafting team at which we perform a close review of your documents and decide upon the changes to be made. We prefer to conduct it in-person and often meet in Bowling Green. I am, however, flexible on where and how we meet. After this session, SLG will prepare initial draft documents based on the decisions made at the drafting meeting.

  5. 6 Presentation of Initial Draft Documents to the Drafting Team: SLG will share the initial draft documents with the drafting team. We will make revisions based on your feedback and will work with the documents until we have something that is ready to present. We recommend that you refrain from distributing these drafts to anyone outside of the drafting team until after SLG has made its HCI presentation to the members of the church.

  6. 7 Presenting an Overview of the HCI to the Members of the Church: Much in the same way as our Zoom call, SLG will present the HCI concepts and process to the members at a special meeting, which will end with a Q&A. These meetings tend to last between 1 and 2 hours. The purpose is to help members focus on purpose of this undertaking (to help the church develop Biblically and legally sound organizational documents) and to prevent any misconceptions from tainting the process. 

  7. 8 Distributing Draft Documents to Members for Review and Comment: At the end of the presentation to members, the draft documents are distributed for review. We recommend providing copies of the documents in electronic format, except for members who request hard copies. The period of review should be at least 2 weeks.

  8.  9 Follow-Up Q&A with Members Based on Review of Draft Documents: We often find it beneficial to conduct a follow-up Q&A with the members to address questions or concerns that arise after they have had a chance to closely review the documents. 

  9. 10 Making Final Revisions to Documents: Occasionally, there is a need to make additional revisions to the documents after the member Q&A. Once these revisions are made, the documents are ready to be presented for final approval.

  10. 11 Presentation of Documents for formal Approval and Adoption: This is the final step that involves direct member participation. Depending on how your church makes decisions, this may be a congregational vote or a vote of your leadership. Either way, it should be memorialized by a resolution that is made a part of the corporate records of your church. We will draft this document for you.

  11. 12 Filing and Publishing Documents: After final approval, SLG will file the revised Articles of Incorporation with the Secretary of State. The Constitution & Bylaws will be finalized and sent to the designated person on the drafting team for dissemination within the church.

  12. 13 Billing for Services: Upon completion of the foregoing steps, SLG will present its bill to the church.
